Formulas, explained and written
When you finish, you can ask AI to explain any formula in plain language and to write a new one from a clear description.
Stuck? Ask the AI tutorWhy formulas feel hard
A spreadsheet formula packs a lot into a few symbols. A line with brackets, commas and cell references can look like code, and one wrong character changes the answer. Many people copy a formula from a forum and hope it works.
AI can act as a patient translator. It can explain what a formula does in plain words, point out each part, and show you a small example. You do not need to memorize functions. You need to know what you want and how to check what you get.
Asking for an explanation
A weak request is “What does this do?” followed by a pasted formula. A stronger request is: “Explain this formula to a beginner step by step. Say what each part does, what kind of data it expects, and give an example with made-up numbers.” Now you learn something you can reuse.
Always mention which spreadsheet program you use. Different programs share many functions but not all, and names can differ between languages and regions. In some regions even the list separator is a semicolon instead of a comma. If a formula does not work, tell the AI the exact message you see.
Writing a formula from plain words
To get a formula, describe your columns and your goal. Weak: “Add up the sales.” Strong: “Column A has dates, column B has the customer type, column C has the amount. I use Excel on my laptop. I want the total of column C only when column B says Wholesale. Write the formula and tell me where to type it.”
The strong request gives the tool the layout, the condition and the place to use the answer. Ask for a one-sentence explanation as well. If you cannot explain the formula back in your own words, you are not ready to trust it.
Test with a tiny example
Before using a formula on a thousand rows, try it on five. Pick rows where you already know the right answer. Add them by hand. Does the formula match? Try one row that has a blank cell and one with an odd value, because those often break things.
Worked example: a bakery owner in Lagos asks for a formula to total weekend sales for one product. The first try returns zero. She tells the AI what she sees, and learns the product names have extra spaces. The explanation helped her fix her data, not just the formula.
Practice now
- Find a formula in a spreadsheet you already use. Ask an AI tool to explain it step by step, then explain it back in your own words.
- Describe a small calculation you do often in plain words, ask for a formula, and test it on five rows where you know the answer.
Use any AI assistant you have. Do not paste private, client or patient information into it.
Check yourself
1. What should you tell the AI when asking for a formula?
2. How should you test a new formula?
3. A formula returns zero when you expected a total. What is a good next step?
Ask the AI tutor
Ask anything about this lesson, in any language. The tutor is an AI: it can be wrong, and it never needs your personal details.
