The main kinds of AI tools people use
When you finish, you can tell the main kinds of AI tools apart and pick a sensible kind for a job.
Stuck? Ask the AI tutorChat assistants
A chat assistant is the kind most people meet first. You type or speak, and it answers in conversation. You can ask follow-up questions, paste in your own text, and shape the answer step by step. Many can also read files and images, depending on the product and plan.
These are flexible all-rounders. They are good for drafting, explaining, planning, brainstorming and practicing. Their weak point is facts that need to be exactly right, since they write answers rather than look them up, unless a search feature is switched on.
AI search and research tools
Some tools combine a language model with live web search. They find pages, read them, and write a summary that points back to sources. This reduces, but does not remove, made-up content. The summary can still misread a page, so the sources are what you should open and check.
These tools suit questions like “What are the main viewpoints on this topic?” or “What do official sources say about this rule?” The habit to build is simple: treat the summary as a map, and the links as the territory.
AI inside the apps you already use
Email, word processors, spreadsheets, meeting tools, design apps and phones increasingly include built-in AI helpers. They can draft a reply, tidy a table, make captions or summarize a call. The big advantage is convenience, since the tool already sees your document or inbox.
That convenience raises a privacy question: what does the helper see, and where does that data go? Settings and rules differ by product, plan and employer. Before using a built-in helper on sensitive material, check the product’s current help pages and your workplace policy.
Image, audio, video and code tools
Other AI tools create pictures, speech, music, video or software code. Image generators turn a description into artwork. Voice tools turn text into speech or text from speech. Coding assistants suggest or explain programming code.
Each has its own limits. Images can include odd details, voices raise consent and impersonation concerns, and code can look right and still fail. Always review. If you make something that shows or sounds like a real person, get their permission first.
Choosing for a real job
Suppose Ines, who manages a small clinic front desk in Lisbon, wants to write a clearer appointment-reminder script. A chat assistant fits well, as long as she uses invented example details and not real patient information. If she wants to learn what a new national rule says, an AI search tool with sources fits better, plus a visit to the official page.
Match the tool to the job: chat for shaping language, search tools for finding sources, built-in helpers for quick actions inside your app, and creative tools for media. When unsure, start with a chat assistant and keep the stakes low.
Practice now
- List four tasks you did this week. Next to each, write which kind of AI tool would fit it best and what you would check in the result.
- Try one free chat assistant and, if available to you, one AI search feature on the same question, such as “What are the main ways small shops can reduce food waste?” Compare how each answers and whether it shows sources.
Use any AI assistant you have. Do not paste private, client or patient information into it.
