Meeting notes and action items

When you finish, you can turn messy meeting notes or a transcript into decisions, owners, dates and a follow-up message.

What a good meeting record contains

Most meetings end with a feeling of progress and no record of it. A useful record has three parts: what was decided, who will do what by when, and what is still open. Everything else is detail.

AI can sort a pile of notes into those three parts quickly. It cannot know what was decided if your notes do not say. So the first step is simple: write down, as you go, even in fragments, anything that sounds like a decision or a promise.

A prompt that avoids guessing

A weak prompt is “Make action items from these notes.” The tool may invent owners or deadlines to make the list look complete. A strong prompt is: “From these notes, make a table with decision or task, owner, and due date. If an owner or date is not in the notes, write NOT STATED. Do not guess.”

That one rule, “write NOT STATED,” turns missing information into a visible gap. Gaps are useful. They tell you exactly which questions to ask before the next meeting.

Transcripts and privacy

Some tools can record and transcribe meetings. Before you use one, make sure everyone in the meeting knows and agrees, and that your employer and local rules allow it. In some countries recording a conversation without consent is not permitted.

Also think about what was said. A meeting about hiring, health, a legal dispute or a customer’s private details should not go into a consumer chatbot unless your employer has approved that tool for that kind of information. When in doubt, take plain notes by hand and share only what you must.

Worked example: the Monday team check-in

Your team in Manila had a short check-in. Your notes: “Lea to send invoice batch Wed. Price list update, not sure who. Decided: pause the old promo. Raj mentioned a supplier delay, follow up.” You ask for the table with NOT STATED rules.

The result shows two clear tasks, one decision, and two gaps: no owner for the price list, no date for the supplier follow-up. You send a short follow-up message listing the items and asking someone to claim the open ones. The meeting now produces action instead of memory.

Practice now

  1. Write fake notes for a pretend meeting with at least two decisions, one task with no owner and one with no date. Ask an AI tool to build the action table with a NOT STATED rule and see if it follows it.
  2. Ask the tool to turn your action table into a friendly follow-up message of under 100 words. Edit it so it sounds like you.

Use any AI assistant you have. Do not paste private, client or patient information into it.
