Lesson 1 of 4 · about 6 min

How AI is changing the work of a small business owner

When you finish, you can sort your own weekly tasks into three groups: AI drafts it, AI helps and you decide, and only you.

Stuck? Ask the AI tutor

You wear every hat

A small business owner is the sales team, the cleaner, the bookkeeper and the complaint desk, often before lunch. That is why AI is a good fit. A free AI assistant is like a patient helper who can write a first draft of almost anything, any time of day. It does not know your business until you tell it. It does not know your customers. But it can save you the hardest part of many jobs, which is starting.

Think about the week behind you. How many hours went to messages, posts, quotes, schedules and paperwork? Those tasks are made of words and lists. Words and lists are what AI does best. The goal of this course is not to make you a computer expert. It is to give back hours you can spend on the parts of the business only you can do.

Tasks AI can draft for you

Some tasks are safe to hand over as a first draft. Replying to common customer questions, such as opening hours or what is included in a service. Writing a post for your page. Rewriting a rough quote so it is clear. Turning a messy voice note into a to-do list. Writing a job ad. Making a checklist for a new helper. In each case you read the draft, fix it, and send it yourself.

A good test: if a mistake would be easy to spot and cheap to fix, AI can draft it. A weak instruction is "write a post about my bakery". A strong one is "write a post for my family bakery in Lagos about our Saturday meat pie special, friendly tone, under 60 words, no prices". The second gives the AI the facts it needs, so you edit less.

Tasks where AI helps and you decide

Pricing, hiring, contracts, taxes and money decisions need AI as an assistant only. AI can list questions to ask a supplier, compare two job candidates against the criteria you wrote, or explain a clause in plain words. It cannot know your cash flow, your local rules, or your gut feeling about a person. It can also be confidently wrong, so every number and rule must be checked.

Use AI to prepare, then decide yourself. For example, before you meet your accountant you could ask: "Here is my month in rough numbers. What ten questions might an accountant ask me?" You walk in better prepared. The licensed accountant or lawyer still gives the advice, and you still make the call.

What stays human, and what will change

Trust stays human. Customers come back because you remember their name, fix a problem fairly, and keep your word. Walking the floor, tasting the product, negotiating with a nervous supplier, and deciding to give someone a second chance are your work. AI cannot do them for you.

Be honest about change, too. Some tasks will shrink: typing the same answer again and again, writing first drafts from scratch, basic data entry. Owners who learn to direct AI will spend less time on those tasks and more on service, quality and growth. The owner who ignores AI is not replaced by AI. The risk is being slower than a neighbor who uses it well.

Practice now

  1. List your last week's tasks, about fifteen of them, on paper or in a note.
  2. Mark each task D (AI can draft), A (AI assists, I decide) or H (only me). Count them. Pick one D task and ask a free AI assistant to do a first draft using real details with names removed.

Use any AI assistant you have. Do not paste private, client or patient information into it.

Check yourself

1. Which task is the best fit for an AI first draft?

2. Why must you check AI output on prices and rules?

3. What is the owner's main advantage over AI?

Ask the AI tutor

Ask anything about this lesson, in any language. The tutor is an AI: it can be wrong, and it never needs your personal details.
