Lesson 3 of 5 · about 5 min

Quotes and invoices you can trust

When you finish, you can draft clear quotes and invoices while checking every number yourself.

Stuck? Ask the AI tutor

AI drafts, you do the math

AI is good at layout and plain wording. It can make mistakes with numbers. Use it to organize a quote or invoice, and enter and double-check the amounts yourself or in your accounting software.

Weak: "Make me an invoice for 12 hours of work." Strong: "Draft an invoice with a clear list of services, the date, payment terms and a polite note. Leave [AMOUNT] and [TOTAL] blank for me to fill in."

What a good quote includes

A good quote lists what you will do, what is included, what is not, how long it will take, what could change the cost and how payment works. Clear words prevent arguments later.

Ask AI: "Read my quote and point out anything unclear or missing." It often finds gaps, such as no mention of materials or delays.

Rules and records

Tax and invoice rules differ by country. AI is not your accountant or lawyer. Check requirements with your local tax authority or adviser. Keep copies of what you send and what you are paid.

Do not put customer bank details or private records into a consumer AI tool. Use placeholders in drafts and add details in your own software.

A worked example

Tunde is an electrician in Ibadan. After each job he tells an AI tool the steps he did, without names. It drafts a plain description of work for the invoice. He enters the amounts, checks the total and adds the customer's name in his invoicing app.

Customers understand what they paid for, so there are fewer misunderstandings. The numbers are his, so he stands behind them.

Practice now

  1. Draft a quote template for your most common job and mark every number as a blank to fill in.
  2. Ask AI to review a past quote for missing or unclear parts and note what you would change.

Use any AI assistant you have. Do not paste private, client or patient information into it.

Check yourself

1. Who should check the numbers on an invoice?

2. What belongs in a quote?

3. Should you paste customer bank details into a consumer AI tool?
