Lesson 2 of 5 · about 5 min
Customer replies that sound human
When you finish, you can draft quick, warm replies and still check the details.
Stuck? Ask the AI tutorSpeed with a human touch
Customers like quick, clear, kind answers. AI can draft a reply while you handle other work. You add the personal detail and make the final decision.
Weak prompt: "Reply to this." Strong prompt: "Reply to this customer asking whether we can deliver on Sunday. We can deliver on Saturday only. Be warm, short, and offer a Saturday time. Put [CHECK] where you are unsure."
Handling a complaint
For unhappy customers, ask AI for a calm reply that listens first, says sorry for the real problem, explains what you will do, and avoids blaming. Then read it as if you were the customer. Does it feel respectful?
Do not let AI promise refunds, delivery dates or repairs you have not agreed to. You decide the offer. AI helps with the words.
Protect their information
Remove names, phone numbers, addresses and order numbers before pasting a message into a consumer AI tool, unless your tool and its terms are approved for customer data. Replace them with placeholders and add them back when you reply.
If you serve customers in health, legal, financial or education fields, follow your sector rules and the relevant privacy laws, such as health-privacy laws like HIPAA in the US, and ask your regulator or adviser if unsure.
A worked example
Camille owns a small hair salon in Montreal. A customer writes in anger about a late appointment. Camille pastes the message with the name removed and asks for a calm reply that offers a discount on the next visit if she approves.
She edits the draft, adds the customer's name, and sends it. The customer replies kindly. The AI saved time, and Camille kept control of the offer.
Practice now
- Take three recent customer messages, remove names, and ask AI for reply drafts. Edit each one in your voice.
- Create a template list of five replies you send often, such as opening hours, pricing questions and delays.
Use any AI assistant you have. Do not paste private, client or patient information into it.
Check yourself
1. Who decides refunds and promises?
2. What should you remove before pasting a customer message?
3. Why read the reply as the customer?
